If you already have stakeholder data, you can save time by importing it directly into the SMRV platform instead of starting from scratch.

Existing Stakeholder Lists

Can I import a stakeholder list I already have? Yes. You can upload a CSV or paste in your data using the import tool. Just make sure you include:

  • Stakeholder category
  • Stakeholder name

Additional Information

While category and name are the minimum requirements, you can also include other information in your import:

  • Connection types
  • Influence ratings
  • Contact information
  • Notes or descriptions

Importing an existing list can significantly accelerate your stakeholder mapping process, especially for projects with many stakeholders or multiple sites.

How to Import

Click "Import List" in Step 2 of the module. You'll be guided through the format. Once uploaded, you'll still need to review and complete the questions for each stakeholder.

  1. Navigate to the Stakeholder Mapping module
  2. Proceed to Step 2 where stakeholders are identified
  3. Look for the "Import List" button
  4. Choose to either upload a CSV file or paste data
  5. Map your columns to the platform fields
  6. Confirm the import

Always review the preview before finalizing your import to ensure data is mapping correctly to the expected fields. This helps avoid having to correct misaligned information later.

File Format Requirements

To ensure a smooth import process, follow these format guidelines:

  • Use UTF-8 encoding for your CSV file
  • Ensure the first row contains column headers
  • Verify that stakeholder categories match the platform's five categories exactly
  • Include one stakeholder per row
  • Keep file size under 10MB for optimal performance
  • Avoid special characters in stakeholder names
  • For dates, use YYYY-MM-DD format

You can download a template CSV from the import interface to ensure your data is properly structured for import.

After Import Process

Data Completion

Importing stakeholders is just the first step. After import, you'll need to:

  • Review each imported stakeholder
  • Complete any missing required information
  • Add detailed descriptions for each connection type
  • Assess influence, risks, and benefits

Enrichment

The import tool helps you get started quickly, but the value of stakeholder mapping comes from the detailed analysis you provide for each stakeholder after they're in the system.

After importing, prioritize completing the analysis for your most critical stakeholders first. This ensures you capture the most important insights even if you're unable to complete the analysis for all stakeholders in one session.

Troubleshooting Import Issues

If you encounter problems during import:

  • Mismatched categories: Ensure categories exactly match the platform's five predefined categories
  • Duplicate stakeholders: The system will flag potential duplicates for your review
  • Character encoding: If you see strange characters, re-save your CSV with UTF-8 encoding
  • Field mapping errors: Verify that your column headers correctly map to platform fields
  • Size limitations: Break large files into smaller chunks if they exceed size limits

Ongoing Management

After initial import, you can also use the import feature to update multiple stakeholders simultaneously. This is particularly useful when:

  • Adding new stakeholders to an existing map
  • Updating information across multiple stakeholders
  • Standardizing categorization or terminology

Export-Modify-Import

For bulk updates:

  1. Export your current stakeholder list
  2. Make changes in your spreadsheet application
  3. Import the updated list back into the platform

When performing bulk updates, use the stakeholder ID from your export to ensure updates are matched to the correct existing records.

Remember that importing a stakeholder list is just the beginning:

  1. Review completeness of imported records
  2. Enhance with context and detailed descriptions
  3. Compare and contrast stakeholders across categories
  4. Identify patterns that might not be obvious in spreadsheet format
